# Deliverability insights by inbox provider

> See email delivery, opens, clicks, bounces, failures, and spam complaints broken down by inbox provider (Gmail, Outlook, Yahoo, Apple, and more) to pinpoint where deliverability problems are coming from.

Deliverability insights break your email metrics down by **inbox provider**, so you can see how Gmail, Outlook, Yahoo, Apple, and others handle your mail. A problem that's invisible in your overall numbers, such as bounces concentrated at one provider or a spam-complaint spike at another, stands out once the stats are split by provider. Use it to find where deliverability is slipping and act before it drags down your whole [sender reputation](./email-deliverability#reputation).

  Deliverability insights are available for apps sending through **OneSignal Mail**. If your app sends through a connected third-party provider (for example SendGrid, Mailchimp, or your own Mailgun account), use that provider's dashboard instead. Your sending domain must also be [authenticated](./email-dns-configuration).

## Where to find it

In the OneSignal dashboard, go to **Messages > Email** and open the **Deliverability insights** tab. This is the per-provider companion to the overall [Reputation dashboard](./email-deliverability#reputation) (**Settings > Email > Reputation**), which summarizes the same metrics across all providers combined.

You can adjust what you're looking at with the controls at the top:

* **Domain**: if your app sends from more than one authenticated domain, pick which one to view.
* **Date range**: choose a preset (7, 30, or 90 days) or a custom range. Custom ranges can go back up to **1 year**, matching how long this data is retained.
* **Provider filter**: narrow the timeseries chart to specific providers.
* **Refresh**: pull the latest stats. A "last updated" timestamp shows how fresh the current data is.

## What you'll see

### Sender reputation cards

Four cards summarize the selected domain and date range across all providers combined:

| Card                    | What it measures                                                                                                                                                                                                             |
| ----------------------- | ---------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Open rate**           | Share of delivered emails that recipients opened. Low engagement tells inbox providers your mail isn't wanted.                                                                                                               |
| **Spam complaint rate** | Share of delivered emails recipients marked as spam. Apple and Gmail do not report complaints to senders, so their deliveries are excluded from this rate. Sustained rates above 0.3% can hurt placement at major providers. |
| **Bounce rate**         | Share of sends rejected before reaching the inbox, often a list-hygiene signal.                                                                                                                                              |
| **Fail rate**           | Share of sends that failed before delivery, including provider rejections.                                                                                                                                                   |

Each card carries a status badge (**Good**, **Okay**, **At risk**, or **Poor**) so you can tell at a glance whether a metric needs attention. For what each metric means for your overall reputation and how to respond, see [Email deliverability](./email-deliverability#reputation).

### Per-provider table

The table breaks the same metrics (sent, delivered, opened, clicked, failed, bounced, and spam complaints) out by inbox provider, largest sender first. For definitions of each metric, see [Email message reports](./email-message-reports) and the [Metrics glossary](./analytics-metrics-glossary).

### Timeseries chart

Plot metrics over time for the selected date range. Use the provider filter to compare providers or focus on one. The chart totals the metrics across whichever providers you've selected.

### Notices

When a provider's metrics cross a threshold, OneSignal surfaces a notice. Notices come at two levels:

* **At risk** (warning): a metric is slipping and worth acting on soon.
* **Poor** (risk): a metric is actively hurting your reputation, so address it now.

What a notice points to depends on the metric:

| Notice                       | What it usually means                                                                                                                                                                           |
| ---------------------------- | ----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Low open rate**            | Your mail may be landing in spam at that provider, or recipients aren't engaging.                                                                                                               |
| **High spam complaint rate** | Recipients are marking your mail as spam. This damages reputation faster than anything else. See [Monitor spam reports](./email-reputation-best-practices#monitor-spam-reports-and-complaints). |
| **High fail rate**           | Messages are being rejected outright, often from a volume spike or weak reputation.                                                                                                             |
| **High bounce rate**         | Many addresses are invalid, usually a [list-hygiene](./email-reputation-best-practices#avoid-invalid-emails) issue.                                                                             |

## Understanding the inbox providers

Recipients are grouped by the provider that actually runs their mail, not always by the address domain. For example, `you@yourcompany.com` may appear under Google Workspace if that company uses Gmail.

| Label                           | What it means                                                                                                                      |
| ------------------------------- | ---------------------------------------------------------------------------------------------------------------------------------- |
| **Gmail**                       | Consumer Gmail accounts (`@gmail.com`).                                                                                            |
| **Google Workspace**            | Business/custom domains that run on Google (formerly G Suite / Google Workspace).                                                  |
| **Outlook 365**                 | Business/custom domains that run on Microsoft 365.                                                                                 |
| **Outlook US / Outlook EU**     | Consumer Microsoft mail (Outlook.com, Hotmail, Live), split by region.                                                             |
| **Yahoo US / Yahoo EU**         | Yahoo consumer mail, split by region.                                                                                              |
| **Apple**                       | iCloud Mail (`@icloud.com`, `@me.com`, `@mac.com`).                                                                                |
| **Country / region categories** | Providers concentrated in one market, such as **German**, **French**, **Japanese**, **Chinese**, **UK**, **Russian**, and similar. |
| **Other, Other US, Other EU**   | Catch-all buckets for the long tail of smaller or rarer domains that don't map to a named provider.                                |

In the provider filter, these are organized into **Global**, **North America only**, **Europe only**, **Asia only**, and **Other** groups.

## Important caveats

Read these before drawing conclusions from the data.

<Warning>
  **Low volume means less reliable numbers.** Rates calculated from a small number of sends swing wildly, so a handful of bounces can look like a serious problem. Providers below a minimum send volume are flagged with a **Limited data** badge.
</Warning>

### Spam complaints aren't reported everywhere

Not every provider tells senders when a recipient marks a message as spam:

* **Apple does not report spam complaints at all.** Apple's complaint numbers will read as zero even if recipients are reporting your mail. This is an Apple limitation, not a gap in OneSignal.
* **Gmail complaints require [Google Postmaster Tools](./google-postmaster-tools).** Gmail doesn't share per-recipient complaints either. To see a Gmail spam rate, connect Postmaster Tools by adding `mailmonitor@onesignal.com` as a managed user for your domain (see the [setup steps](./google-postmaster-tools)). Until then, the Gmail spam figure will be unavailable.
* **Yahoo and Outlook do report complaints** through feedback loops, so their numbers are populated directly.

### Data is per domain, not per app

These stats are reported at the **sending-domain level**. If the same domain is used by more than one app, the numbers combine every app that sends from it. They are **not** split per app. When the selected domain is shared, the page shows a **"Used in N apps"** indicator so you know the totals are aggregated. For reputation purposes the domain-level view is what matters, since inbox providers judge the domain as a whole.

### Data source, freshness, and retention

* **Retention:** hourly detail is available for the most recent 24 hours; daily data goes back up to 1 month.
* **Freshness:** Postmaster-sourced Gmail data lags by roughly 1–2 days, and Gmail only publishes it once your domain clears its own minimum daily volume.
* **Directional, not exact:** these numbers are for spotting trends and problems, not for billing or reconciliation, and may differ slightly from other reports.
